How to use this employee work schedule template
In the template, replace "Employee 1," "Employee 2," and so on with the actual names of your employees.
Similarly, replace "Shift 1" and "Shift 2" with the specific shifts you have, such as "Morning Shift," "Afternoon Shift," or any other shift name you want to use.
The days of the week are listed across the top row. Enter the shift or day off for each employee under the corresponding day. Adjust the table as needed to accommodate more or fewer employees or shifts.
Remember to fill in the schedule for each employee for each day of the week, specifying their assigned shift or marking it as a day off.
If you would rather use an employee work template that is organized by the day of the week, then use the second template in the Excel workbook.
Why you need an employee work schedule
A well-planned work schedule ensures that employees know what is expected of them and when. A balanced shift schedule means that your employees are working optimally and have a better work-life balance.
In functions such as customer service, a well-planned staffing schedule ensures that your customers always have someone to answer their queries.
Shift management is critical to manufacturing since many plants run around the clock. Assigning employees to the right schedule is key to keeping a manufacturing shop floor producing the right goods at the right pace.
How to choose the right schedule template for your business
Every business and function is different and needs a schedule that fits. Here are the key factors to consider:
- Skill coverage -- In customer service, you need to schedule employees who have similar skill sets. The goal is to have enough agents at any given point in time to handle the expected volume of queries.
- Role diversity -- A hospital needs to schedule employees with vastly different skills, experience, and wage costs to provide 24-hour coverage, including experts on call for emergencies. The template a hospital needs is very different from what a call center needs.
- Ease of customization -- Sooner or later you will need to modify your schedule. Choose a template that is easy to update.
- Simplicity -- Your workforce managers should be able to create schedules quickly, and employees should understand them without confusion.
