Use Excel for filling out timesheets digitally (formulas auto-calculate). Use Word or PDF for printing and filling out by hand.
What's in Each Template
All four templates share the same core structure:
- Header section — employee name, manager name, reporting period, hourly rate
- Time entries — date, start time, end time, regular hours, overtime hours
- Auto-calculated fields — daily totals, period totals, pay amounts (grey cells — don't overwrite these)
- Signature section — employee and manager approval signatures
The client/project versions add columns for client name and project name on each row, so you can track billable hours by client and calculate per-project costs.
Weekly Timesheet Template
Records time for a single work week (7 days). Fields include date, start/end time, regular hours, and overtime hours. The template auto-calculates daily totals and the weekly total, plus pay based on the hourly rate you enter.
Use this if you pay employees or contractors weekly or if you need weekly time data for labor law compliance.
Weekly Timesheet with Client and Project
Same as the weekly template with added client and project columns. Each time entry is tied to a specific client and project, so you can:
- Calculate total hours per client per week
- Track project costs against budgets
- Generate data for client invoicing
Monthly Timesheet Template
Records time for a full calendar month. Same fields as the weekly version but with rows for each day of the month. Auto-calculates daily, weekly, and monthly totals plus total pay.
Use this for monthly payroll processing or for employees who report time on a monthly basis.
Monthly Timesheet with Client and Project
The monthly template plus client and project tracking. Gives you a complete month's view of how time was spent across clients and projects — useful for monthly client billing and resource allocation planning.
How to Use These Templates Online
To use these as shared digital timesheets:
-
Save to a shared location — Google Drive, OneDrive, Dropbox, or a shared network folder. Restrict access to authorized people only.
-
Choose your organization method:
- One workbook per period — create one Excel file per week/month with a separate sheet for each employee. Add a summary sheet that totals all employees' hours and costs.
- One file per employee — each employee copies the template, fills it in, and saves to the correct period folder. Name files consistently (e.g.,
Smith-Jane-2026-W12.xlsx).
-
Back up your data — keep copies in a second location. If your state labor laws require physical records, print and file signed copies.
When to Move from Templates to Software
Manual timesheet templates work well for small teams. As your team grows, consider switching to automated timesheet software when:
- Employees spend too much time filling out timesheets instead of working
- You're losing accuracy because people fill them in from memory at the end of the week
- Collating, reviewing, and processing timesheets consumes hours of management time
- You need real-time visibility into who's working on what
- You're losing billable hours due to forgotten or underreported time
HiveDesk automates the entire process — employees track time via desktop, mobile, or browser apps, and timesheets are generated automatically with a manager approval workflow.
FAQs
Which format should I download?
Excel if you want auto-calculated totals and digital submission. Word if you want to customize the layout. PDF if you want to print and fill out by hand.
Can I use these in Google Sheets?
Yes. Download the Excel version, upload to Google Drive, and open with Google Sheets. The formulas will carry over.
How do I track overtime?
Each template has separate columns for regular hours and overtime hours. Enter overtime hours according to your state's rules — most states follow the federal 40-hour weekly threshold, but some (like California) also require daily overtime after 8 hours. See our FLSA overtime compliance guide.
Can I modify the templates?
Yes, the templates are free to use and modify for your business. You can add columns, change categories, or adjust formatting to match your needs.
Do I need a separate template for contractors?
These templates work for both employees and contractors. For contractors, you may also want to track time with invoice templates for billing purposes.
